• Property information — property details you enter including name, address, WiFi credentials, house rules, and host notes
• Booking information — guest names, contact details, check-in/out dates, and platform source that you add manually
• Message content — guest messages sent through your portal and AI-generated replies
• Usage data — basic analytics such as pages visited and features used

2. How we use your data

• To provide and improve the Coho service
• To generate AI replies on your behalf using our AI infrastructure
• To send transactional emails (account confirmation, password reset)
• To display approved reviews on our public landing page (only if you submit one and we approve it)

3. Third-party services

Coho uses third-party infrastructure providers to operate. These include services for:

• Database and authentication — your data is stored securely in US-based servers using encrypted storage
• AI processing — message content is processed by our AI provider to generate guest replies. This provider does not use your data for model training
• Hosting and delivery — the Coho platform is served via a enterprise-grade cloud hosting provider
• Payment processing — subscription billing is handled by a PCI-compliant payment processor. We do not store your card details

We do not sell your data to any third party.

4. Guest data

You, as the host, are responsible for any guest data you enter into Coho. Coho processes this data solely to provide the service. Guest message content sent through the portal is stored to maintain conversation history and generate AI replies.

5. Data retention

Your data is retained for as long as your account is active. If you delete your account, your data is permanently removed within 30 days. You can request deletion at any time by emailing us.

6. Security

All data is encrypted in transit (TLS) and at rest using industry-standard practices. We do not store passwords in plain text.

7. Your rights
